Who we are
This website, www.scoretheworld.com, is run by Score The World (“we”, “us”). We are the data controller for the personal data described in this policy. You can reach us about anything related to your data at mail@scoretheworld.com.
What data we collect and why
When you enter the contest. You pay the entry fee through Stripe. Stripe shares your name, email address, the payment amount and a payment reference with us. We never see your full card details, because Stripe processes those directly. On the entry form you give us your name, email address, order id and the YouTube link to your entry. We use this to confirm your payment, register your entry, have it judged by the jury, send you the jury’s feedback and results, and send you reminders about contest deadlines. The legal basis is the performance of the contract between us, which is set out in the contest rules (GDPR Article 6(1)(b)).
Publishing results. If your entry wins or is shortlisted, we publish your name and a link to your entry on our website and social media, as described in the contest rules. We keep winners’ pages online as an archive of past contests. The legal basis is the contest contract and our legitimate interest in documenting the contest (Article 6(1)(b) and (f)). You can ask us to remove your name from the archive at any time.
Payment records. We are required by Hungarian accounting law to keep records of payments for 8 years (Article 6(1)(c), legal obligation).
Newsletter. If you sign up for our newsletter, we use your email address and name to send you news about upcoming contests. The legal basis is your consent (Article 6(1)(a)). You can unsubscribe at any time using the link in every email or by writing to us.
Sharing your data with our sponsors. Only if you tick the separate, optional checkbox on the entry form, we share your name and email address with our sponsor companies (e.g. Soundiron, Engine Audio, Eva Instruments) so they can send you offers about their products. The legal basis is your consent. Entering the contest does not depend on this consent, and you can withdraw it at any time. Once your data has been shared, the sponsor handles it under its own privacy policy.
Emails you send us. If you write to us, we use your email address and message to reply. The legal basis is our legitimate interest in answering enquiries (Article 6(1)(f)).
Facebook. If you interact with us in our Facebook group or page, we see the information Facebook makes visible to us, such as your profile name and your posts. Meta is a joint controller for data processed on its platforms, and its own privacy policy applies.
Cookies
We use cookies that are strictly necessary for the website to work. We use other cookies, such as statistics cookies or cookies set by embedded YouTube videos, only if you agree to them in our cookie banner. You can change your choice at any time using the “Manage consent” button on the website. For details of each cookie, see our [Cookie Policy — link to the page generated by Complianz].
Who processes your data for us
We use the following service providers. They process data on our behalf or, where noted, as independent controllers:
Stripe Payments Europe, Limited (Ireland) processes entry fee payments. It acts as our processor for handling the payment, and as an independent controller for its own legal obligations and fraud prevention, as described in Stripe’s privacy policy. Google handles storage of contest data in Google Drive / Google Workspace. [Newsletter provider name] sends our newsletter. [Hosting provider name] hosts our website. YouTube (Google) hosts contest entries, which you upload to your own YouTube account under YouTube’s terms.
Some of these providers are based in or transfer data to the United States. Where this happens, the transfer relies on the EU–U.S. Data Privacy Framework or on the European Commission’s standard contractual clauses.
We do not sell your personal data.
How long we keep your data
We keep contest entry data for one year after the results of the contest you entered are announced, and then delete it. We keep payment records for 8 years as required by law. We keep winners’ names on the archive pages until you ask us to remove them. We keep newsletter data until you unsubscribe. We keep emails for as long as needed to handle your enquiry.
Participants under 16
The contest is open to all ages. If you are under 16, a parent or legal guardian must give consent on your behalf before you enter or sign up for the newsletter.
Your rights
Under the GDPR you have the following rights, free of charge.
Access. You can ask for a copy of the personal data we hold about you.
Rectification. You can ask us to correct or complete inaccurate data.
Erasure. You can ask us to delete your data, unless we must keep it by law (for example, payment records).
Restriction. You can ask us to limit how we use your data in certain cases.
Objection. You can object to processing based on our legitimate interests, including the publication of your name in the winners’ archive.
Portability. You can ask for your data in a commonly used format, or for us to send it to another organisation.
Withdrawing consent. Where we rely on your consent, you can withdraw it at any time. This does not affect processing that took place before you withdrew.
To exercise any of these rights, email mail@scoretheworld.com. We will reply within one month.
Complaints
If you think we have mishandled your data, please contact us first so we can try to fix it. You also have the right to lodge a complaint with a data protection authority. In Hungary, this is the Nemzeti Adatvédelmi és Információszabadság Hatóság (NAIH), 1055 Budapest, Falk Miksa utca 9–11, www.naih.hu, ugyfelszolgalat@naih.hu. You can also complain to the authority in your own EU country, or take the matter to court.
Automated decisions
We do not make automated decisions or create profiles about you. Contest entries are judged by our human jury.
Security
We store contest data in accounts protected by two-factor authentication. Only the organisers who need the data can access it, and the jury sees only what it needs to judge the entries.
Changes to this policy
We update this policy when our practices change. The date at the top shows the latest version.
